CRM vs ERP (and HRIS, SCM, Financial Systems): Operational Software Categories

Customer relationship management (CRM) software tracks everything about a company’s interactions with customers and prospects — sales opportunities, contact history, and revenue forecasts. Enterprise resource planning (ERP) software integrates a company’s core internal operations — finance, inventory, procurement, and production — into one shared database so a change in one function updates the others automatically. The simplest way to keep them straight: CRM faces outward toward customers, while ERP faces inward toward operations.

Why project managers need to know software categories

On an IT project, you rarely build these systems from scratch — you select, implement, integrate, or migrate them. When a sponsor describes a business need (“we can’t see our sales pipeline” or “inventory and finance never match”), your job is to recognize which category of system solves that problem, because that determines the vendors you evaluate, the stakeholders you involve, and the data you migrate. CompTIA Project+ (PK0-005) tests exactly this recognition skill: given a described business need, name the software category — a pattern worth drilling with practice questions until it’s automatic.

CRM: managing the customer lifecycle

A CRM system is the single source of truth for customer-facing activity. Its core capabilities include:

  • Opportunity and pipeline tracking — every potential sale, its stage, and its estimated value
  • Interaction logging — calls, emails, meetings, and support conversations attached to each contact
  • Sales forecasting — projecting future revenue from the current pipeline
  • Marketing and campaign support — segmenting contacts and measuring outreach results

If the requirement mentions leads, opportunities, customer history, or revenue forecasting, the answer is CRM. Sales and marketing teams are the primary users, which also tells you who your key stakeholders will be on a CRM implementation project.

ERP: integrating core operations

ERP earns its name by planning the resources of the whole enterprise. Instead of separate, disconnected applications for accounting, purchasing, warehousing, and manufacturing, an ERP provides modules that share one database. That shared database is the defining trait: when a raw-material shortage is recorded in inventory, procurement sees it immediately, production planning adjusts schedules, and finance sees the cost impact — no manual re-entry, no reconciliation between systems.

Exam scenarios signal ERP with phrases like “single integrated system,” “connects finance, inventory, and procurement,” or “a change in one area automatically reflects in the others.” ERP implementations are among the largest and riskiest IT projects an organization undertakes, which is why they appear so often in project-management scenarios about scope, change control, and stakeholder management.

HRIS: the employee system of record

A human resource information system (HRIS) — sometimes called human capital management (HCM) — does for employees what CRM does for customers. It centralizes:

  • Employee records and organizational data
  • Benefits enrollment and administration
  • Paid time off (PTO) accrual and tracking
  • Payroll processing (either natively or through integration)
  • Recruiting, onboarding, and performance data in larger suites

When a scenario describes HR replacing scattered spreadsheets with one system for employee data, benefits, leave balances, and payroll, the category is HRIS. Note that payroll touches financial systems too — the differentiator is that HRIS centers on the employee record, not the general ledger.

SCM: managing the flow of goods

Supply chain management (SCM) software manages the movement of materials and products from suppliers to the organization and onward to customers. Typical capabilities:

  • Purchase order tracking with suppliers
  • Shipment and logistics visibility — where goods are while in transit
  • Inventory forecasting — predicting when stock will run low
  • Automated replenishment — triggering reorders before a stockout

SCM overlaps with ERP (many ERPs include SCM modules), but when a scenario emphasizes suppliers, shipments in transit, and demand-driven replenishment — rather than integrating finance and production internally — SCM is the best-fit answer. The keyword pattern is flow: goods moving between organizations.

Financial systems: the money record

Financial management systems (accounting software at enterprise scale) handle the organization’s monetary records:

  • Recording invoices and processing accounts payable (money owed to vendors) and accounts receivable (money owed by customers)
  • Bank reconciliation — matching internal records against bank transactions
  • Producing financial statements — balance sheet, income statement, cash flow
  • General ledger, budgeting, and audit support

If the scenario is about invoices, AP/AR, reconciliation, and statements — with no mention of inventory, production, or HR — the category is a financial system, even though a full ERP would also contain a finance module. The exam wants the most specific category that satisfies the stated need.

These categories frequently need to talk to each other — a CRM feeding orders into an ERP, or an HRIS feeding payroll into a financial system. How the PK0-005 exam tests this

  • Best-fit category questions: a sponsor describes a business need in plain language (track sales opportunities and forecast pipeline revenue; connect finance, inventory, and production in one system) and asks which enterprise software category fits BEST. The wrong answers are the other categories from the table above, so you must match the specific capabilities described, not a plausible-sounding generality.
  • Closest-specific-answer discrimination: a need that a big ERP could technically meet (payroll, AP/AR) is described narrowly, and the credited answer is the narrower category (HRIS, financial system). Choose the tightest match to the stated requirements.
  • Supplier vs internal framing: SCM and ERP scenarios are distinguished by direction — supplier purchase orders, in-transit shipments, and auto-replenishment point to SCM; cross-department internal integration points to ERP.
  • Stakeholder implications: some questions pivot from category to people — a CRM rollout implies sales leadership as key stakeholders, an HRIS implies HR and payroll staff.
